Job Location

The Administrative Assistant (AA) position will be based in our Kalispell, Montana office.

 

Job Description

The AA has superior organizational skills, attention to detail, and ability to prioritize and successfully work on multiple tasks on an ongoing basis. They have a superior work ethic and excellent interpersonal and communications skills. The AA is a coachable self-starter who learns quickly and thrives in a fast-paced environment. The AA reports directly to the Principal, Courtenay Sprunger.

 

Essential Responsibilities / Duties:

  • General administrative duties as needed such as greeting clients, office errands, filing, light housekeeping, or other duties as assigned.

  • Answers phones and assisting with calls from the public; scheduling meetings.

  • Completes key functions of monthly invoicing in coordination with Big Sky Public Relations’ bookkeeping agency.

  • Conducts personal errands for the principal, as needed.

  • Develops internal documents such as manuals or handbooks.

  • Manages applications for certifications, books and tracks travel arrangements, tracks receipts and mileage for principal.

  • Coordinates purchasing and vendor communications.

  • Proofreading, research, and fact checking.  

  • Organizes weekly, monthly and quarterly client reports.

  • As needed, the administrative assistant may help with campaign activities that involve the public including canvassing, representing client projects at community events, and material distribution to stakeholder groups and community partners.

 

Requirements:

  • Associates Degree preferred but not required. Those with an AA will optimally possess a minimum of three years of professional work experience. Alternatively, a high school diploma or GED required is also acceptable with five years of work experience directly applicable to the essential job responsibilities and duties of the AA position.

  • Ability to work quickly and efficiently on a computer.

  • Proficient in using the Microsoft Office, and capability to quickly learn internet tools and technologies such as Gmail, Dropbox, digital task management software, and file sharing platforms.

  • General research skills, both online and via traditional methods.

  • Capacity to effectively building trusting relationship with members of the public.

  • Strong written and verbal communications.

  • Strong initiative, leadership skills and work ethic; exacting attention to detail.

  • Ability to work independently.

  • Teamwork mentality including the ability to multi-task in a team-oriented. environment and easily work on multiple projects throughout the course of a day or week.

  • Strong problem-solving skills.

  • Willingness to be flexible and a positive, can-do attitude.

  • Ability to consistently and accurately track time on a daily basis using company software.

  • Ability to work in our Kalispell office.

Preferred Skills/Experience/Abilities:

  • Competency with QuickBooks online.

  • Bookkeeping.

  • Able to set up for and staff events, which requires lifting 30 pounds and standing for several hours; able to comfortably walk several miles in a day in order to complete canvassing or other material distribution duties.

 

Interpersonal Skills:

Develop and maintain productive, trusting relationships with creative, advertising, and administrative vendors, members of the public, and clients with whom he/she may sometimes interact. Work cooperatively and positively with other members of the Big Sky Public Relations team on a daily basis. Possess a commitment to giving and receiving feedback honestly and graciously.

Job Classification: Part-time

Work Schedule: The AA typically works 15 to 20 hours per week, spread across three weekdays but a final schedule will be finalized between the new AA and Principal during the job offer phase. Additional hours may be available during special events or high-volume seasons with project rollouts.

Travel: Possible but limited, 5-10%

Hourly Range: $15/hour - $17/hour DOE
